Adding clients, running checks, and sending document requests

This guide covers the full flow for a new client: adding them to your register, running a verification check, and sending a document request.

Add a client

From the Clients page, select "Add a client" and enter their details. On a phone, use the mobile-friendly wizard instead. It walks you through the same steps and lets you send a request before you even put the phone down.

Before the client is created, the system checks whether this exact person is already on your firm's register. If they are, you will be offered their existing profile or the option to start a new matter for them, rather than creating a duplicate entry.

You can attach the client to a matter such as a property purchase, sale, or rental. This is optional and can be added or changed later. If the check is a one-off verification with no property involved, you can skip this step entirely.

Run a verification check

Open the client's profile and choose a check from the Verification section:

  • Identity, checked against Home Affairs.
  • Sanctions and PEP screening, checked against watchlists.
  • CIPC company match, for company or trust clients.

Each check returns a result within seconds and is priced at the rate shown on your firm's Billing and usage page. Every run is recorded on the client's timeline, so there is always a record of what was checked and when.

Send a document request

From the client's page, select "New request". Choose one of your firm's templates, or write a message and select which documents are required. Sending the request creates a secure link that is emailed directly to the client.

The client opens the link on their own phone, uploads each document, and can review or replace anything before submitting. Nothing is sent to your firm until they confirm the full submission, so a mistake on their side never creates extra work for you.

Once documents are received, each one is given a freshness status such as fresh, expiring soon, or stale, so you always know when it is time to ask a client for an updated copy.
